Start with the total cost
List everything the class wants: ceremony, party or prom, photos and video, invitations, gowns, decoration. Get quotes from more than one supplier and add a margin for the unexpected — around 10% usually helps.
With the total in hand, divide it by the number of graduates and by the months until the event. That is each person’s monthly contribution.
Set the rules from the start
- Amount and date of each contribution, and what happens when someone is late.
- Who can move the money and who approves larger payments.
- An account just for the graduation, never mixed with a committee member’s personal account.
- How the reporting will work — how often and where the class can follow it.
- What to do when someone drops out along the way.
Transparency is what prevents fights
Most conflicts in group funds do not come from a lack of money, but from a lack of information. When everyone can see how much came in, how much went out, to whom and how much is left, doubts disappear before they turn into arguments.
Keep the receipts, record every payment to suppliers and share the progress of the goal often. Spreadsheets sent to the group chat help, but they get outdated fast; ideally the class follows it in real time.
Extra fundraising
Raffles, parties and sales help lower each person’s contribution. Treat each one as a mini project: record what was spent and what came in, to know if it paid off and to report the profit.
The same ideas work for other groups that pool money: friends, sports teams, events and families.
Frequently asked questions
How do we work out each graduate’s contribution?
Add up the cost of every item with a margin for the unexpected, divide it by the number of graduates and then by the number of months until the event.
How should a graduation committee report to the class?
By recording each contribution and each payment with a receipt, and often sharing the balance, what has been paid and what is left. Ideally in a shared place the class follows in real time, without depending on spreadsheets sent to the group chat.
Do graduates have to pay to follow along in Balizar?
No. People who only follow the shared goal, wallet and budgets can use the Free plan. The person who shares needs Balizar Plus.
